Key takeaways
- The free WhatsApp Business app supports one phone plus up to four linked devices, and everyone sees every chat.[1]
- Meta Verified multi-agent raises that to as many as ten devices and adds chat assignment, where available.[2]
- Coexistence keeps the app working while the same number is connected to the API, with a fixed 20 messages per second.[3]
- For bigger teams, the API plus a shared inbox removes the device cap. Social Intents includes unlimited agents from the Basic plan.
Why one WhatsApp number gets hard to share
WhatsApp was designed around a person and a phone. As soon as two or three colleagues need a WhatsApp shared number for the team, questions pile up. Who saw this message? Did anyone answer? Why did the customer get two different prices?
Meta now offers several ways to give multiple agents access to one number. Each has its own device limit, its own idea of who “owns” a conversation, and a different price.
Option A: use WhatsApp Business on multiple devices
The WhatsApp Business app lets you link extra devices to your account. Your phone remains the primary device, and you can link up to four more, such as WhatsApp Web, the desktop app, a tablet or another phone, by scanning a QR code.[1] Every device shows the same chats and sends messages as the same business.
The catch is that there is no concept of an agent. Anyone on any device can reply to any chat, there is no way to assign a conversation, and the free app does not record which person sent which message. The primary phone also has to stay in use; WhatsApp logs linked devices out if the primary phone goes unused for an extended period.
Meta Verified multi-agent: up to ten devices
WhatsApp calls its team features “multi-agent.” With a paid Meta Verified subscription for your business, the help center describes linking as many as ten devices, depending on your subscription, naming each one after the agent using it, assigning chats to agents and checking which agent and device sent a message.[2] Customers still see one business. Meta notes this version may not be available to every account yet, so check the Subscriptions area of your app.
Works well when
- Two or three people answer from one location
- You want to stay on the free app or a simple subscription
- WhatsApp is one of several channels and volume is light
Watch out for
- A hard device cap: four free, up to ten with multi-agent
- No AI chatbot, routing rules or approved-template broadcasts
- Reporting and integrations are minimal
Option B: coexistence, the app and API on one number
Coexistence connects a number that already runs the WhatsApp Business app to the WhatsApp Business Platform (Cloud API) through a provider, without switching the app off. One-to-one messages are mirrored between the app and the API, and Meta lets you share up to six months of chat history with the provider if you choose.[3] The owner keeps replying from the phone while the rest of the team works in a shared inbox.
There are trade-offs. Coexistence numbers have a fixed throughput of 20 messages per second, the app’s broadcast lists become read-only, group chats are not synced, and your linked devices are unlinked during onboarding so you re-link them afterwards.[3] Meta’s webhook reference also lists about 14 days of primary-phone inactivity as a reason the API connection is removed.[4] Our WhatsApp coexistence guide covers eligibility and setup.
Works well when
- The owner or a few people must keep using the app
- You want to keep the number and recent chats
- The wider team needs a shared inbox and broadcasts
Watch out for
- Duplicate notifications unless you agree who answers where
- Some app features change, such as broadcast lists
- The primary phone must stay active
Option C: the WhatsApp API with a shared team inbox
The WhatsApp Business Platform is the API Meta built for businesses. Your team never works in the API directly. You connect your number to a shared inbox, and people answer there with their own logins. Because nobody links a device, there is no device cap, which makes it the usual choice for WhatsApp Business multiple agents.
With the Social Intents WhatsApp team inbox, conversations arrive where your team already works: Slack, Microsoft Teams, Google Chat or the web inbox. An AI chatbot can answer first, routing sends topics to the right channel, and broadcasts include opt-in tracking, automatic STOP handling and 9 AM–8 PM quiet hours by default. Unlimited agents are included on Basic and up, from $69/month billed annually, and Meta bills its fees to your own account with no markup.
Works well when
- Four or more people answer, or the team is growing
- You want automation, routing, broadcasts and reports
- You do not want to pay per agent seat
Watch out for
- Meta charges per message for API traffic
- Free-form replies are limited to 24 hours after the customer’s last message; after that you need an approved template
- Without coexistence, the number cannot also run the app

Which option fits your team?
Use the helper below, or read the three cards. Plenty of teams combine options: coexistence for the owner’s phone plus a shared inbox for everyone else is a common setup.
Quick decision helper
Answer three questions and we will highlight the option that fits.
Stay on the Business app
Choose linked devices if…
- Two or three people answer, usually from the same place
- WhatsApp is a side channel, not your main support line
- You do not need reports, routing or automation yet
Upgrade with Meta Verified multi-agent if you mainly need chat assignment for up to ten devices.
Add coexistence
Choose coexistence if…
- The owner or a few staff want to keep answering from the phone
- The rest of the team needs a shared inbox and broadcasts
- You want to keep your number and recent chats
API + shared team inbox
Choose a shared inbox if…
- More than a handful of people answer, or the team keeps growing
- You want an AI chatbot, routing, broadcasts and reporting
- Your team lives in Slack, Microsoft Teams or Google Chat
How to set up a WhatsApp shared number for your team
Here is how option C works in Social Intents, with coexistence if you want to keep the app.
- 1
Start a trial and connect your team tool
Sign up, then add Social Intents to Slack, Microsoft Teams or Google Chat, or use the web inbox.
- 2
Connect your WhatsApp number
Go to Settings > Outbound Settings, click Connect WhatsApp and complete Meta’s signup. Enter your WhatsApp Business app number in Meta’s signup and Meta switches to coexistence automatically.
- 3
Route conversations and invite the team
Pick the widget that receives WhatsApp under Route Inbound to Chat App. Everyone in that channel or space can answer.
- 4
Add automation when you are ready
Train an AI chatbot on your content, set up escalation routing, and send your first broadcast from 90 ready-made templates.
Mistakes to avoid when several people share WhatsApp
Passing one phone around
Chats get answered twice or not at all, and when the person with the phone is off sick, WhatsApp support stops.
Unofficial multi-login tools
Browser extensions and scripts that automate WhatsApp Web are not part of Meta’s official platform and can put your number at risk of being banned.
Deleting the app to move to the API
Deleting your WhatsApp Business account to register the number on the API erases the chat history on the phone[5]. Coexistence avoids that.
