What a WhatsApp CRM should do (and what it shouldn’t)

On a single phone, customer knowledge lives in one person’s head and chat list. A WhatsApp CRM moves it into a shared record: who the customer is, what they asked last time, whether they agreed to marketing, and which campaigns reached them. That makes WhatsApp safe to scale beyond one person.

Social Intents focuses on the WhatsApp relationship itself: contacts, companies, consent, segments, conversations and campaigns. It doesn’t try to be a sales pipeline tool. If your deals live in HubSpot or Salesforce, connect them and keep each system doing what it’s best at.

WhatsApp contact management with a consent history

WhatsApp conversations are saved to contact profiles that hold names, phone numbers, company, location, tags and custom properties, and contacts are grouped into companies by their email domain.

  • WhatsApp and SMS consent on every contact, with a full change history
  • Conversations and help desk tickets on the same profile
  • Send an email or SMS straight from the contact

Segments and lists built from real WhatsApp behavior

Static lists are great for imports and keyword opt-ins. Segments update themselves from rules, so “VIPs in the UK who messaged us in the last 90 days” is always current.

  • Rules on tags, country, consent, signup date, last WhatsApp message and name, email, company or city
  • Combine rules with all/any logic
  • Smart audiences such as Opted in and 24-hour window open

A shared inbox with assignment and internal notes

One number, many people. Assign a conversation to a teammate, leave an internal note the customer never sees, and let an AI chatbot answer routine questions before handing off.

  • Número ilimitado de agentes en el plan Básico y superiores
  • Reply from Slack, Microsoft Teams, Google Chat or the inbox
  • Multiple WhatsApp numbers in one inbox (5 on Pro, 10 on Business)

Campaign history that feeds your next audience

Each broadcast keeps a per-recipient record of sent, delivered, read, replied, failed and opted out. Build your next audience from any result, or use past campaign engagement as a segment rule.

  • “Read, didn’t reply” follow-ups in one click
  • Reply snippets and a CSV export for every campaign
  • Keyword opt-ins tag new contacts to a list automatically

Bring your contacts with a CSV import

Moving from a phone, a spreadsheet or another tool? Import keeps consent evidence attached from day one.

  1. 1

    Upload a CSV

Or paste rows straight from a spreadsheet.

  2. 2

    Map the columns

First Name, Last Name, Email, Phone, Company, City, State, Postal Code, Country, Tags and WhatsApp Consent are recognized automatically.

  3. 3

    Set phone defaults & consent

Pick a default country for local numbers, then say how these people opted in. The note is stored on every consent record.

  4. 4

    Matched, not duplicated

Existing contacts are matched by email, then phone, and updated. New ones can be tagged into a list for your first broadcast.

WhatsApp CRM FAQ

Contacts, consent, imports, integrations and what we deliberately don’t do.

What is a WhatsApp CRM?

A WhatsApp CRM keeps a record of every customer you talk to on WhatsApp: their details, tags, consent status, conversations and the campaigns they received, so anyone on your team can pick up where the last person left off. In Social Intents, WhatsApp contacts live in the same contact list as your website chat and SMS contacts.

Is Social Intents an official WhatsApp provider?

Yes. Social Intents is a Meta Tech Provider: you connect your number through Meta’s Embedded Signup, and messages go through the official WhatsApp Business Platform (Cloud API). Meta bills message fees to your own WhatsApp Business Account.

Does Social Intents have deals, pipelines or sales stages?

No. Social Intents manages the WhatsApp side of the relationship: contacts, companies, consent, tags, segments, conversations and campaigns. If you track deals in a sales CRM such as HubSpot or Salesforce, connect it on the Pro or Business plan and keep your pipeline there.

Can I import my existing contacts?

Yes. Upload a CSV with columns such as First Name, Last Name, Email, Phone, Company, City, Country, Tags and WhatsApp Consent. Choose a default country for numbers without a country code, add a tag or list, and record how people opted in. Existing contacts are matched by email, then phone, and updated rather than duplicated.

How does WhatsApp consent tracking work?

Each contact has a WhatsApp and an SMS consent status: opted in, messaged you, unknown or opted out. Every change is logged with the date, the source (such as a keyword, an import or a STOP reply) and who made it. Staff must add a note to mark someone opted in, and STOP or UNSUBSCRIBE replies opt people out automatically.

Which tools does the WhatsApp CRM integrate with?

Social Intents offers 50+ integrations, including Salesforce, HubSpot, Zendesk, Freshdesk, Jira, WordPress and Shopify, plus Slack, Microsoft Teams and Google Chat for replying. CRM integrations are included on the Pro and Business plans.

How much does a WhatsApp CRM cost for a small business?

WhatsApp, contacts and companies are included from the Basic plan at $69/month billed annually, with unlimited agents. Meta’s message fees are separate and billed by Meta to your own WhatsApp Business Account with no markup. Every plan starts with a 14-day free trial.

Can I switch from my current WhatsApp provider?

Usually, yes. Meta supports moving a business phone number between providers’ WhatsApp Business Accounts, so the number stays yours, and you can bring your contacts with a CSV export and import. Your current provider normally has to release the number first, approved templates may need to be re-created, and old chat history stays in the previous tool. Talk to our team before you switch.
